BOOKING TERMS & CONDITIONS

Your contract is with Cool Bali Villas – Booking Agent

 

1. Reservations

Only reservations submitted via email are accepted.
Your booking is not confirmed until you receive a confirmation email from us with your Rental Agreement.

 

2. Payments

We accept payments by bank transfer in  all the major currencies. Payments by bank transfer must be received in full. Payments made with a credit or debit card, are subject to a 3% surcharge.

Our prices are quoted in AUD. If you pay in any other currency we will apply the exchange rate via www.xe.com.

We don not take a deposit. Full payment is required 60 days prior to arrival.

3. Time of Arrival and Departure

Check in and Check out times are stated on your rental agreement supplied at the time of booking.  Earlier and later check in and out times, are subject to a charge and must be agreed in writing.

 

4. Number of Guests

The number of guests staying in the property is not to exceed the number specified in the booking confirmation. Under no circumstances will any additional guests be allowed to stay without prior agreement and payment.

 

5. Management Access to Property

The management has access rights to the Villa at any time for necessary maintenance issues.

 

6. Parties or Events

Parties or Events are NOT permitted without written approval from Cool Bali Villas.

Any parties hosted without approval will result in your immediate removal from the Villa.

Quiet time must be adhered to between the hours of 10pm to 7am.  

7. Public Services and Liability

The management is not liable for any utility supply breakdowns outside its control

 

8. Insurance

Please ensure that your party has adequate travel insurance for cancellation, ill health, personal belongings, public liability etc. The management will not be held responsible for any accident, injury, loss or damage to property or person, however caused.

 

9. Booking Changes by You, the Client

We will accommodate booking changes depending on availability. However, any change requested within 60 days of arrival will be subject to our cancellation and refund policy. Please note:

  • No refunds will be issued for cancellations or booking changes made within 60 days of arrival.
  • Changes requested within this period may be treated as a cancellation and rebooking, and may incur additional charges.
  • We strongly recommend confirming your travel plans well in advance to avoid penalties.

 

10. Booking Cancellation by You, the Client

Any cancellations must be in writing.

No refunds will be issued for cancellations or booking changes made within 60 days of arrival.

For any payments made before this time, a refund will be processed less bank or card fees.

We recommend purchasing Travel Insurance at the time of booking so you can make a claim if you are unable to proceed with your holiday.

11. Refund Liability

In the event of a dispute resulting in a refund request, Cool Bali Villas will assess the claim in accordance with the following conditions:

  • Agency Role: Cool Bali Villas acts solely as a booking intermediary between guests and property owners. We facilitate the reservation process and provide support throughout the booking experience.
  • Owner Discretion: All refund decisions are made at the sole discretion of the property owner. Cool Bali Villas does not have authority to override the owner’s decision.
  • Limited Liability: In cases where the property owner does not approve a full refund, Cool Bali Villas’ financial liability is limited to the commission earned from the booking.
  • Communication Support: Cool Bali Villas will assist in facilitating communication between the guest and the property owner to help resolve disputes in good faith, but cannot guarantee outcomes.

 

12. Cancellation or Amendment by Us, Cool Bali Villas

In the unlikely event that Cool Bali Villas cancels your booking; the full amount will be refunded.

 

13. Damages

Cool Bali Villas does not charge a security deposit. However, guests are fully responsible for any damage or breakages that occur during their stay. All damages will be assessed as they arise, and guests will be invoiced accordingly. Payment in full is required prior to check-out.

 

14. Accuracy of information

All information supplied is correct and accurate to the best of our knowledge.
